The type of personal information I collect
I currently collect and process the following information:
- Name and contact details of the person making the enquiry or booking
- The name of your school or organisation, the address, phone number, email address and website of the school
- non-personal information about the learners or service users for the purpose of making a recommendation for training or consultancy (e.g. age range, number of learners, level of need etc)
- non-personal information about the staff for the purpose of making a recommendation for training or consultancy (e.g. number of staff, roles, recent training etc)
- Contact details of other relevant people within your organisation, e.g. finance department
How we get the personal information and why we have it
Most of the personal information we process is provided to us directly by you for one of the following reasons:
- For the purpose of making a recommendation for training or consultancy
- For follow up communication after training, e.g. if participants provided email addresses voluntarily on a contact sheet
- If you copy in an additional member of staff to my communication
- If your information was freely available on your school or organisation website
- [If applicable] We also receive personal information indirectly, from the following sources in the following scenarios:
- If a mutual connection introduced us via email. In such instances it would be good practice to copy both people into a fresh email thread to create the introduction, and to have sought consent prior to making this introduction.
- We use the information that you have given us in order to make a bespoke recommendation for training or consultancy.
Your information will not be shared outside of my organisation, except if there was a safeguarding responsibility, or with your permission to make an introduction to a third party, as above.
Under the UK General Data Protection Regulation (UK GDPR), the lawful bases we rely on for processing this information are
- Your consent. You are able to remove your consent at any time. You can do this by contacting Rachael Baker
- We have a contractual obligation.
- We have a legal obligation.
- We have a vital interest.
- We have a legitimate interest.
How we store your personal information
Your information is securely stored.
We keep contact details and the information you provide about your training or consultancy needs for no longer than seven years.
We will then dispose your information by securely deleting any electronic copies and back ups, and shredding any physical copies.
Your data protection rights
Under data protection law, you have rights including:
- Your right of access - You have the right to ask us for copies of your personal information.
- Your right to rectification - You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.
- Your right to erasure - You have the right to ask us to erase your personal information in certain circumstances.
- Your right to restriction of processing - You have the right to ask us to restrict the processing of your personal information in certain circumstances.
- Your right to object to processing - You have the the right to object to the processing of your personal information in certain circumstances.
- Your right to data portability - You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.
- You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
